Building Your Itinerary — Schedules and Plans

Last updated: 2026-10-09

The "Schedule" tab shows trip dates as columns for hotel, transport, and sightseeing plans. All members edit it in real time. The button to the right of the dates switches to list view, which lists every day's plans under date headings; tap "+ Add" on a date heading to add a plan to that day.

To add a plan

  1. Click (tap) an empty slot at the date and time you want.
  2. The "Choose how to add" sheet appears; pick an input method.
    • "Enter manually": fill in the form directly.
    • "Create from image" / "Choose from library" / "Take a photo": load a booking screenshot and the details fill in automatically.
    • "Create from email": create plans by forwarding booking confirmation emails (see "Importing Booking Confirmation Emails").
    • Check "Use the same input method for 24 hours" to skip this choice next time.

Plan form fields

First pick a "Type": "Stay", "Move", "Event", or "Other". Move refines to Walking, Train/Bus, Shinkansen, Car, Airplane, or Ship; Event to Sightseeing, Meal, Shopping, Experience, or Rest. Picking one shows the fields for that type and sets its icon.

  • Stay (accommodation): enter "Hotel Name", "Check-in date/time", and "Check-out date/time". Check-out defaults to the next morning. When creating one, "Find hotels on the map" shows nearby hotels (see "Finding hotels on the map").
  • Move: enter "Flight / line / mode", "From", and "To" plus "Departure date/time" and "Arrival date/time".
  • Event / Other: enter "Place / Activity" and the start and end times.

One TBD time appears as a small marker at the known time, labeled “– TBD.” Two TBD times appear in that day’s “Time not set” strip.

For a move with transfers, open "Segments" and press "Add segment" to enter each departure, arrival, and "Line / service". The plan details show these as an itinerary; edit a segment or press "Remove" as needed. While segments exist, the overall departure and arrival follow the first and last segments. To edit them directly, tap either field and confirm removal of the segments (applied when you save).

Opening "Details" lets you also record the following.

  • "Memo": booking numbers, meeting points, and so on. URLs starting with http:// or https:// become links that open in a new tab.
  • "Address": shows a map preview; Move plans take departure and destination addresses. With no address, typing a place name suggests some — tap "Use" to fill one in.
  • "Expenses": amount, currency, payer, and who splits it (see "Recording Expenses and Settling Up").
  • "Attached Files": booking confirmation images and PDFs (see "File Attachments and the Gallery").

Finally press "Create" to add the plan to the timeline.

To paste an itinerary made with AI

You can add an itinerary made with ChatGPT, Gemini, or a similar AI to the schedule you are viewing, all at once. There are three ways to open it:

  • A schedule with no plans yet: "Paste an AI itinerary" at the top of the timeline
  • Smartphone: the … button at the bottom right, then "Paste an AI itinerary"
  • PC: "Paste an AI itinerary" in the date bar
  1. Under "Copy the instructions for the AI", press "Copy". The instructions include this trip's dates and a format we can read.
  2. Paste them into the ChatGPT (or similar) chat where you planned the trip, and send.
  3. Paste the reply into "Paste the answer you get back" and press "Read the itinerary". It can be read even if it does not follow the format exactly.

Each plan that was read is checked against the map and gets a badge: "Found on the map", "Not found on the map", or "May be permanently closed". Plans that may be closed start unchecked. If this plan already has a plan with the same date, start time, end time, and name, it gets "Already in this plan" and also starts unchecked, so pasting the same itinerary twice does not create duplicates. A plan whose times you changed is added as a new plan. Plans dated outside the trip get "Outside the trip dates", but you can still add them. If the itinerary has no dates (Day 1, Day 2, ...), pick the first day under "Just tell us the departure date".

Check the plans you want and press "Add to this plan" to add them to the timeline. Plans whose times overlap plans already in the schedule are not added.

AI reading has a daily limit. If you reach it, try again tomorrow, or paste an answer rewritten with the instructions from "Copy the instructions for the AI". Answers written in that format can still be read after the limit is reached.

To look up a route for a move plan

Open a move plan for a move inside Japan ("Train/Bus", "Shinkansen", and so on) and a "Public transport route" block appears, where you can look up the actual transfers.

  1. Open the move plan and press the search button in "Public transport route" — one searches by departure time, the other by arrival time.
  2. If the plan has no time yet, you are asked "What time should we search for?". Pick "Departure time" or "Arrival time", enter the "Time", and press "Search this time".
  3. Each route found is listed with its departure and arrival times, line names, transfer count, and fare. The walking time between your start or destination and the station is shown too.
  4. Press "Update this plan with this route" and that route's times and segments are written into the plan.

Only rail routes are covered ("Finds rail routes. Local and highway buses are not covered."). When nothing is found you'll see "No route found", and "See routes on NAVITIME" opens NAVITIME's own transfer search. When the place cannot be resolved from the name or address you'll see "Could not pinpoint the location" — re-enter the plan's "Address". Route data comes from NAVITIME ("Route data: NAVITIME"). Outside Japan, if the date is too far in the past or future, we look up the timetable for a nearby date with the same day of the week and say so.

To find booking sites

Open an Airplane, Sightseeing, or Experience plan and "Find booking sites" appears below the details. Press it to show buttons for booking sites; choosing one opens that site in a new tab with a search based on the plan.

  • Airplane: Skyscanner and Google Flights, searched with the departure place, arrival place, and departure date.
  • Sightseeing / Experience: Klook, asoview!, and KKday, searched with the place and the plan name.

Check prices, availability, and booking conditions on the linked site.

To edit, move, or delete a plan

  • Edit: click the plan on the timeline, change its contents, and press "Update".
  • Move: drag and drop the plan to a different time or day.
  • Plans without a time: they sit in the "Time not set" strip under the date. Drag one onto the timeline for a one-hour plan.
  • Delete: open the plan and press "Delete" (you'll see "Are you sure you want to delete this plan?").
  • Copy to an alternative: use "Copy to another schedule" on the plan.

To create and compare multiple schedules

One travel plan can hold several schedules (itinerary alternatives) — handy when you're torn between two versions of a day.

  • Add an alternative: press "Create Alternative" at the top, then choose under "How to create the new alternative":
    • "Copy the current alternative": carries over all its plans and expenses.
    • "Start from scratch": keeps only the dates, with no plans.
  • Switch: pick the schedule to display from the same menu. Any alternative stays editable.
  • Rename: on PC, click the schedule name at the top. On a phone, tap the pencil to the right of the alternative name.
  • Compare: press "Compare", select 2–3 schedules ("Select 2–3"), and press "Start Comparing" to view them side by side. PC only ("Please use a desktop browser to compare"). Press "Exit Compare" to leave.
  • Adopt: press "Adopt This" on the schedule you've settled on; it becomes "Main" (★). Email imports go into the main schedule.

To delete a schedule

  1. Open the "Schedules" section in "Travel plan settings".
  2. Press "Delete" on the unwanted schedule and confirm "Delete this schedule? This cannot be undone."

The main schedule cannot be deleted ("Cannot delete the main schedule"). Press "Adopt This" on the one you want to keep first, then delete the other.
